Fort Collins Document Scanning FAQs
-How much does document scanning cost in Fort Collins?
Document scanning in Fort Collins starts at $249 per standard records box, with a six-box minimum for bulk scanning projects. Pricing depends on document volume, condition, preparation, organization and indexing requirements. Standard projects include document preparation, duplex scanning, OCR searchable PDFs, basic digital organization and quality review. Local pickup and return are included for qualifying Fort Collins and Northern Colorado projects.
-How many pages are in a standard records box?
A standard records or banker box typically holds approximately 2,000–2,500 pages, depending on how tightly the documents are packed and whether folders and other materials are included. You don't need to count your pages before requesting a document scanning quote. Simply tell us approximately how many boxes you have and send photos if requested.
-Can you pick up boxes from my Fort Collins business?
Yes. We provide local document pickup and return in Fort Collins for qualifying bulk document scanning projects. Pickup service is also available throughout much of Northern Colorado, including Loveland, Windsor, Timnath and Wellington. Your boxes are identified at pickup so their existing organization can be maintained throughout the digitization process.
-Can you scan double-sided documents?
Yes. Our document scanning process supports single-sided and double-sided business records. Duplex scanning captures both sides of a document during the scanning process, helping ensure important information on the reverse side of a page isn't missed.
-What is OCR document scanning?
OCR stands for Optical Character Recognition. OCR technology recognizes printed text within scanned documents and makes that text searchable. Instead of receiving digital images that can only be viewed, OCR document scanning creates PDFs that allow you to search for names, dates, invoice numbers, addresses and other words contained within your records.
-Will my scanned documents be searchable?
Yes. Standard document digitization projects include OCR searchable PDFs. This allows you to search the text contained within your scanned business records instead of manually looking through thousands of individual pages. Search accuracy can vary depending on the age, condition, handwriting and print quality of the original documents.
-Do I need to remove staples and paper clips?
No. Standard document preparation is included with qualifying scanning projects, so you generally don't need to remove ordinary staples, paper clips or documents from folders before pickup. Records requiring extensive preparation, repair, unusual handling or removal from specialty bindings may require additional processing and will be identified when your project is quoted.
-Can you preserve the order of my existing files?
Yes. We can preserve the existing organization of your records during document digitization. Boxes, folders and document groups can be reflected in the digital file structure so your electronic records remain familiar and easy to navigate. Custom indexing, detailed file naming and specialized organization are also available depending on project requirements.
-Can you digitize decades of old business records?
Yes. Bulk document scanning is ideal for businesses and organizations with years or decades of paper records stored in banker boxes, filing cabinets or storage rooms. Older contracts, invoices, project files, administrative records, meeting minutes and other paper archives can be converted into organized, searchable digital files.
-What happens to my original records after scanning?
Your original paper records are returned to you after the document scanning project is completed, unless another arrangement is made in advance. This allows your organization to decide how long the physical records should be retained and whether they should eventually be stored or securely destroyed.
-How long does bulk document scanning take?
Turnaround time for bulk document scanning depends on the number of boxes, document condition, preparation requirements and level of digital organization requested. Smaller projects may be completed considerably faster than large archives containing dozens of boxes. Your estimated turnaround time will be provided with your project quote before your records are picked up.
-What types of businesses use document digitization?
Document digitization can help contractors, construction companies, property managers, HOAs, churches, nonprofits, professional offices and other Northern Colorado businesses and organizations reduce paper storage and make older records easier to locate. Common projects include contracts, invoices, project files, property records, meeting minutes, vendor files, administrative records and historical business archives.
